Merino RMS is a private records management system for Merino Volunteer Fire Department. It is operated by Merino Volunteer Fire Department and is restricted to authorized fire department personnel.
Merino RMS tracks members, training, incidents, equipment and vehicle maintenance, and generates NERIS-compliant incident reports. It is hosted at https://rms.merinofire.com.
Merino RMS uses the Gmail API with the gmail.readonly scope for the single mailbox merinofd@gmail.com. The app polls that mailbox every 30 seconds for dispatch notifications with the subject Automatic R&R Notification: Fire from dispatch@sterlingcolo.com. When a matching email is found, the app parses the incident time, location, units, and narrative to auto-create an incident record in the Merino RMS database, then marks the email as read. No email content is shared with third parties. The app does not send email, does not modify email other than marking dispatch notifications as read, and does not access any other mailbox.
Incident and member data is stored in a private SQLite database on an Oracle Cloud server operated by the department. Access requires a username and password. Data is not sold or shared with third parties except as required for NERIS reporting via the official NERIS API/portal, which is initiated manually by an administrator.
